In the automotive logistics industry, the effective coordination of vehicles, work orders, teams and on-site operations is essential to ensure business continuity and meet delivery schedules.
Schira Trasporti manages a wide range of activities, from vehicle handling and loading and unloading to maintenance, bodywork and pre-delivery preparation. To make these operations simpler, more traceable and easier to control, we designed a proprietary digital platform that centralises processes, automates the exchange of information and provides real-time visibility into operational progress. The application is accessible across multiple devices, including smartphones and handheld terminals, through a dedicated app.

Coordinating Operations within a Single Environment
Schira Trasporti needed a centralised application to manage its operational processes end to end. The solution had to support task intake, assignment to teams and operators, priority management and reassignment, while integrating with the client’s system to automate the exchange of data and updates.
At the same time, it had to provide immediate visibility into operations, enabling managers to monitor progress and analyse average execution times and workloads across different operational sites.
Bringing On-Site Operations Online
PTo meet Schira Trasporti’s requirements, we configured a proprietary platform on vtenext with dedicated modules for operational sites, activities, work types, and vehicles. The platform manages the entire workflow, from receiving new tasks and assigning them automatically to managing priorities, reassignments, and progress updates.
We digitalised Schira Trasporti’s operating model by translating day-to-day field activities into structured workflows managed within a single environment. The solution reflects the company’s existing organisation, supporting managers and operators throughout their activities without changing their roles and responsibilities.
Structured Workflows for Task Assignment and Progress Tracking
The dashboard displays each activity together with its current status, priority, assigned team and relevant operational site. Tasks are clearly organised according to whether they are awaiting commencement, in progress, completed or still pending at the end of the day, giving managers an immediate overview of ongoing operations.
Urgent requests and reassignments can be managed from a single environment, while workloads can be reviewed across teams and operational sites. Managers can therefore respond quickly to backlogs or delays and rebalance workloads before they become operational issues.
Operators update activities from tablets or smartphones using start and stop functions. The system automatically records actual execution times, compares them with estimates and historical data, and flags potential anomalies. The dashboard therefore provides continuously updated information on operational performance, supporting faster decision-making and more effective resource management.
Automated Integration with the Client’s System
The platform developed on vtenext was integrated with the client’s system through REST APIs, automating the exchange of operational information between the two environments. New activities, priority changes and other updates are continuously transferred, while progress updates and completed tasks are promptly returned to the client’s system. The result is a faster, structured and consistently aligned flow of information.

From Paper-Based Processes to Centralised Operations Management
Previously, activities were managed through printed Excel files distributed to individual operators. This approach made it more difficult for managers to maintain a complete overview of the day’s planned activities and required frequent manual checks. Entering and updating the same information multiple times also increased the risk of typing errors, omissions and inconsistencies across different files.
For operators, this meant receiving updates less promptly and working with instructions that could require further verification whenever priorities changed or urgent tasks and reassignments arose. Work allocation also depended on continuous manual coordination to align the daily schedule with actual operational priorities and team availability.
With the new platform, the flow of information no longer depends on paper documents or manual updates. Each activity enters a shared digital workflow, from initial intake through to completion, reducing information gaps, accelerating coordination between managers and operational teams, and ensuring continuity of information throughout the entire work cycle.
Each activity is documented as it is carried out, including execution times, status updates, notes, photographs and supporting evidence. The information collected creates a shared operational knowledge base that supports day-to-day coordination while also enabling
